Sub-series consists of files used and created by staff members including: Joanne Fraser, Special Assistant, 1987-1990; Susan Elliott, Special Assistant 1988-1989; Zdenka Buric, Special Assistant, 1990; Sherry Scott, Special Assistant 1990-1991; Ann McKeil, Special Assistant, 1990-1991; Wendy Orr, Executive Assistant, 1990; and Andrea Schade.

The sub-series contains invitations, scheduling and subject files. The invitations (vols 1-6) are arranged chronologically by month, January 1989 to June 1991, and include both accepted invitations and regrets. Scheduling files (vols 6-8) include long term agendas, 1985-1987, daily agendas, 1985-1990, weekly calendars, 1989-1991, and monthly calendars, 1990-1991 which document the SSEAs scheduled activities. The files are arranged chronologically within these groupings. The subject files (vols 8-12), arranged alphabetically, include files concerning the administration of the office, the planning of the SSEAs travel, including trips to Alberta, visits of heads of state and foreign ministers to Canada, PMO invitations, special events planning including receptions, dinners, luncheons, meetings and summits. There are also policy files on such subjects as tour objectives, ministerial travel, briefing materials for the SSEA concerning the Baltic, itineraries and background information for meetings and other events as well as memoranda to and from SSEA staff.
