Since the beginning of its activities, the company adopted and used an extensive records management system in the purpose of controlling and maintaining records of its day-to-day operations, transactions, and decisions throughout its lifecycle.
The company created a complex filing system to improve its workflow and to allow for efficient retrieval of client information and the company's own documents. Dominion Bridge used a unique number to identify each client or construction project. The system is named "client contract numbers". It was adopted by the company with contracts starting at 1 going up to 8-9999. From the 1960s onwards, the company used a computer system and the client contract number adopted the following format : 100-001 to 100-999, 120-001 to 120-999, 130-001 to 130-999, etc.
The client contract number was used to list projects in catalogues, index cards, and for the creation of textual files, photographs files, and technical/architectural drawings. For example, the contract number used for the construction of the Jacques Cartier bridge was 9042. All textual engineering records, photographs and technical drawings produced for that project between 1925 and 1929 are identified under that unique number. This system connects all surviving media types related to a specific project and offers a view of the development, planning, construction, operation, and maintenance related to that project.
As soon as the company expanded its activities, each shop on the industrial site was identified by a specific number for the purpose of accountability. Other filing systems were also developed to manage and control the production, installation, and maintenance of many fabricated structures, machines, and equipment. For example:
- B-001 to B-999, B-1000 to B-1999 were used to identify the fabrication of boilers;
- AW-34 was used to identify the installation and maintenance of automatic welding machines, C-001 for cranes, D-001 for drilling machines, etc.
- prefix "S" followed by a number indicates a filing system used to manage the construction and the renovation of Dominion Bridge shops and equipment on the industrial site.Additional information:Arrangement note:The series contains three sub-series.
"Administrative files" contains records on the adoption of policies, procedures, standards, and strategic planning, as well as studies and statistics on production and capacity.
"Construction project catalogues" lists the Dominion Bridge Company's clients from 1882 to 1998.
"Index cards" contains a large quantity of cards created by the company to control and maintain various lists of contracts with customers.Source:PrivateFormer archival reference no.:MG28-III100 -
